Registration, Lodging, Payment and Reimbursement

Once it is clear to you that you are going to participate to the LOT Winter School 2010 in Amsterdam, there are a number of more practical matters to be settled.

Registration
Registration has closed! The set deadline of December 7 2009 has passed. This deadline is motivated by several reasons, among which:

  1. If you don't enroll timely, we will in practice be unable to send you the course materials of the courses you enrolled for. This will affect the quality of your participation.
  2. The class rooms that we are going to reserve are to be based on a reasonably accurate indication of the number of participants.
  3. The number of handouts that teachers are expected to bring is also to be based on a reasonably accurate indication of the number of participants of a particular course.

Note also that if you decide to withdraw from courses that you registered for, you should inform the LOT secretariat.
Otherwise, LOT and the teacher may get a wrong impression of the number of participants of a course.

If you are a paying participant and you wish to cancel your registration before the deadline of December 7 2009 we will refund the tuition fee you have paid us minus the costs of money transfer. If you cancel after the deadline, 50% of the tuition fee will be refunded.

Confirmation on registration and payment will be sent the 8th of December.

Lodging
In case you need lodging: we have made reservations in the Nova Hotel in Amsterdam.
After the deadline of December 7 2009, reservations can no longer be cancelled, changed or added.
If you cancel too late or do not show up at the hotel, we will have to charge you for at least one night.
If you have any questions on your hotel reservation, check with the local organization of the VU via o.steenhoek@let.vu.nl  

Payment
We require advance payment of the tuition fee for all students that are NOT officially affiliated with an institute that participates in LOT or has an agreement with LOT (please check this if you are not sure).  Only for Ph.D. students of LOT lodging is free for stays during the week; All other students (including LOT students wishing to stay over in the weekend) have to pay their hotel bill in advance by credit card.

Your registration and/or lodging reservation will be confirmed once we have received your payment.
Note that if we have not received your payment before To Be Announced a lodging reservation cannot be guaranteed for you.

We would like you to pay the tuition fee and the cost for lodging by credit card, here is a payment form that you can use. Please print out, complete, sign, and return this form to us (our email address, mail address and fax number are on the form). Only payment in Euros can be accepted. If you do not have (access to) a credit card, please contact the LOT office. In any case, don't make use of international money transfers through banks for the tuition fee.

Reimbursement
For Ph.D. students affiliated to LOT: Train tickets can be declared with the following form:

We need to receive the declaration form with an original signature.

Note that we can only reimburse costs for which original tickets are provided. Also, we reimburse costs for tickets within the Netherlands only and we reimburse the reduced train fare (40% off) only (unless you had to travel before 9.00, when there is no possibility of travelling with reduced fare).

After the deadline, you will receive a confirmation of registration.
